Community Integrated Services, Inc. Client Financial Administrator

CIS, Inc. is looking for a motivated and detail-oriented Client Financial Administrator to join our team in support of adults with developmental disabilities.. This position is responsible for developing and managing the system ensuring client funds are properly handled in a detailed and organized manner following DDD Policy 6.04 - and subsequent applicable WAC’s.

  • Submit requests to SSI/SSA for CIS to become Rep Payee for new clients.

  • Complete paperwork from DSHS regarding review of client financial status and handle phone interviews to ensure clients continue with medical, food stamp and other benefits.

  • Track CIS payments of bills for clients with guardian/Rep Payee’s and submit billing and supporting documents to Guardian/Rep Payee at the end of each month for payment or notification purposes.

  • Monitor client balances so that a spend-down can occur, minimizing the number of clients with month-end accounts over $1700.00

  • Submit notice to DDD at the end of each month for any clients with accounts over $1700.00.

  • Track and submit all client paid medical expenditures and submit to DDD at the end of each month for refusal or reimbursement.

  • Train, support and monitor Primary Financial Assistant’s (PFA’s) work with clients on their checkbooks - ensuring PFA initials on each check, duplicate check and receipts submitted, account numbers on each check, etc.

  • Review each bill received at the CIS office and assign to proper house and divide billing by the number of clients in the home and CIS as appropriate, adding client first names and amount next to each name as related to the particular client/house(s), make appropriate number of copies of each bill, place in house envelope, put in proper house shelf/box for program coordinator distribution.

  • Update client inventory sheets of purchased items over $75.00 each. Print-out and have PFA initial or sign for the updated purchase - keep original
  • Develop master schedule for all houses, determine which Direct Care Staff (DSE) can fill what vacancy (review of individual strengths/skills, review of PBSP’s, etc.), monitor for excessive overtime.

  • Work closely with Trainer/recruiter to track what employees have read client books, etc.

  • Answer phones from desk and put calls through to proper extension/person.

  • Assist Program Director and Clinical Director in conducting internal investigations as appropriate.

  • Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgement, tact, and diplomacy.

  • Other duties as assigned.

As an essential function of this position, the employee must be able to handle high levels of stress satisfactorily and be congenial with other employees, parents, supporting agencies and customers at all times.

Experience and Skills:

The successful candidate will exhibit experience in human services or experience working with individuals with disabilities/behavioral challenges orrelated field. Must be highly organized, excellent written and speaking skills, flexible, service oriented, and professional. Solid computer skills with programs such as Word and Excel. Demonstrated proficiency in the fundamental concepts, principals, practices related to working with behaviorally challenged individuals.

  • Minimal accounting experience. Must be highly organized, flexible, friendly, service oriented, adaptable and professional. Excellent computer skills with programs such as Word, Excel, QuickBooks.
